Your Data & Rights

As Insanity Radio (the Station) is a voluntary organisation, it has no permanent staff (notwithstanding the Students’ Union staff, who are not specifically Insanity). The Station is jointly owned by Royal Holloway College (the College) and the Royal Holloway Students’ Union (the Union). For legal reasons, the Union is, in this context, the data controller of the Station, as Insanity Radio does not exist as a legal entity. “Internal Services” refers to digital Station assets that require a password (including, but not limited to Nerve, Logs, this Intranet, our social media pages on sites like Twitter, Facebook)

When purchasing an Insanity membership (and then deposits, etc.), the Union collects (for us) your student number, name, and email. We keep this in a database to keep track of active members, but cannot change it. This data is the Union’s responsibility, and is required for operational reasons.

You will have contacted a member of the Board to have an account created. When doing this, you will have provided us (again) with the same information as above. We then check this against the other database. This set of information is not made available outside of the Station (including to our parent organisations), with the exception of the Union Sabbatical Officer who is legally responsible for the Station. We must keep copies of this data for regulatory and compliance reasons, and this is part of the Station Agreements (On-Air/Off-Air) that you will have signed.

This data is not shared outside of Insanity Radio. It is not resold or used for marketing purposes (not including internal communications).

Once you finish at Insanity Radio, your login is deactivated but this data is kept in an archived format. Data is automatically archived a year after your Station membership expires. You can ask us to delete it, and, unless we have a valid reason not to, we will oblige. We use this data primarily to keep in contact with our “alumni” – for instance to invite them to special events as they occur.
